When 300 guests arrive in Amsterdam for a packed four-day program, you need more than a basic itinerary. This event, produced for Swiss Event Agency Eggert+Friends, combined content, discovery and energy into one seamless journey.


Welcome, connect, move

The experience began at Schiphol and Amsterdam Central Station, where our team welcomed guests and directed them to minicoach transfers into the city. With multiple arrivals and touchpoints, we made sure the logistics felt smooth and stress-free.The program launched at De Hallen Studios with a content-focused afternoon. Then came the movement. Guests split into 12 groups, each led by one of our Local Friends. These locals didn’t just recite facts. They answered questions, shared stories, and made the city feel personal.


Cycling through the city

Groups hopped on bikes and followed three custom routes leading to workshop venues: Museumhuis Bartolotti, @droog, and Tolhuistuin. These venues, all part of the Unique Venues of Amsterdam network, were sourced and arranged by Swiss Event Agency Eggert+Friends. We made sure each route ran safely, on time, and with a sense of flow that allowed guests to enjoy the city rather than navigate it.


Walking routes and surprise moments

The following day, 18 new groups set out again, this time on foot or with the help of short shuttles. Each Local Friend crafted a slightly different journey, adding their own favorite coffee stops, backstreet views and surprise landmarks. One group passed the famous Poezenboot, another the favorite wedding venue of their guide. Guests experienced the city as if walking with a friend.


Precision in movement

At 17:55, 300 guests walked out of De Hallen Studios. At 18:07, all 15 minicoaches had departed from the city center. A tight operation like this requires preparation, coordination and clear communication. It’s where our experience truly shines, with the implacable help of our small vehicle transfer partner.


Evening experiences

The gala dinner took place at the iconic Beurs van Berlage. The next evening, a vibrant celebration followed at the Heineken Experience. Both venues, also members of Unique Venues of Amsterdam, were sourced and managed by Swiss Event Agency Eggert+Friends. We handled some final touches — from confetti streamers to last-night shuttle coordination — so guests could relax and enjoy every moment up the end of the night.


Why this worked

This program was a textbook example of layered logistics coming together to form a smooth experience. While venue selection and production were in the hands of Swiss Event Agency Eggert+Friends, our role was to bring those pieces together. From the first airport transfer to the last party shuttle, we created flow where complexity could easily arise in a tricky city like Amsterdam.

With 18 dedicated Local Friends, city-wide routes and six carefully curated venues, this project reminded us that great programs aren’t about what’s on paper, but how it feels between the guests and ourselves.
